How do I edit my marketing copy, pages, and galleries?
Keep your public website fresh with updated content and images.
- Go to the Admin dashboard.
- Use Manage Site Text & Pages to rewrite your welcome messaging, service descriptions, and policies.
- Use Homepage galleries to upload photos of your salon and your team's best hair transformations.
How do I set up Stripe for online payments & deposits?
To accept online deposits or booking fees, you must connect your Stripe account.
- Go to the Admin panel and navigate to the Stripe Payments section.
- Enter your secure Admin Password to unlock the fields.
- Paste your Stripe Secret Key and Stripe Public Key into the respective boxes and click Save.
How do I enable automated SMS & Email reminders?
Automated reminders drastically reduce no-shows.
- Go to the Admin dashboard and find Resend & Twilio API Keys.
- Enter your Twilio credentials (for SMS) and Resend API key (for Emails).
- Configure your reminder windows in Reminder emails and SMS to automatically notify clients 24 or 48 hours before their appointment.
How do I update my salon's opening hours and contact details?
Your opening hours dictate when clients can book appointments online.
- Go to the Admin dashboard and click the Salon Opening Times and Global Salon Details tabs.
- Update your Address, Phone Number, and Email.
- Toggle which days you are open and set the Start and End times.
2. Team, Services & Retail
How do I add a new stylist or team member?
Adding a new stylist involves creating a user account and assigning them as a bookable resource.
- Click on Admin in the top navigation and navigate to Manage Stylists.
- Click the + Add Resource button.
- Fill in the staff member's name and details. They will automatically appear on the Calendar.
How do I manage specific staff working hours and holidays?
Individual staff members might work different hours than the salon's global opening times.
- Go to the Admin dashboard and open the Availability Planner.
- Here you can define specific working rotas, days off, and holidays for each individual stylist.
- The online booking system will automatically prevent clients from booking a stylist when they are unavailable.
How do I manage my service menu and pricing?
Your service menu dictates what clients can book online and how much time it takes.
- Go to the Admin dashboard and click the Manage Services tab.
- Click + Add Service to create a new treatment.
- Define the Price, Duration (in minutes), and assign which specific stylists are capable of performing it.
- You can optionally flag a service to require a Patch Test.
How do I track retail products?
Keep track of the retail products you sell in-salon.
- Go to Admin > Manage Products.
- Add your retail items, brands, and prices. This allows you to add products to a client's final bill during checkout.
3. Client Management
How do clients book online?
Clients visit your public Booking page, where they can browse services, select a stylist, and pick an available time slot. If you've enabled deposits, they will be prompted to secure their booking with a card.
How do I edit individual rules, notes, or allergies for a client?
You can store personalized notes, formulas, and allergy rules directly on a client's profile.
- Navigate to the Calendar view.
- Click on the CLIENTS button at the top right to open the Client Directory.
- Search for your client and click on their name to open their Technical Card.
- Click Edit next to Client Notes to add allergies, lifestyle notes, or specific rules (e.g. "Do not book on Tuesdays").
How do I fix duplicate client profiles?
If a client accidentally creates a second profile with a different email, you can merge them.
- Go to Admin > ๐ Merge Client Accounts.
- Select the primary account to keep, and the duplicate account to merge.
- All appointment history, formulas, and notes will be combined safely.
How do Family & Shared Booking Groups work?
You can group family members together so one primary account holder can book and pay for their dependents (e.g. children).
- Go to Admin > ๐จโ๐ฉโ๐งโ๐ฆ Client Family & Shared Booking Groups.
- Link dependent profiles to a primary account. The primary account will then see a drop-down menu during online booking asking "Who is this appointment for?".
How do I import legacy clients from my old software?
If you're moving from another system, you don't have to enter clients manually.
- Go to Admin > Import Legacy CSV Files.
- Upload your client list exported from your old system. Ensure the columns match the required format (Name, Email, Phone), and the system will instantly create profiles for them.
4. Appointments & Calendar
How do I block out time or book a manual appointment?
To control your column directly from the Calendar:
- Manual Booking: Click any empty time slot on the Calendar. Select the client (or create a new one), choose the service, and hit Save.
- Block Out Time: Click an empty slot, select the stylist, and look for the option to create a "Block". This is perfect for lunch breaks, holidays, or staff training, and prevents clients from booking online during that period.
How do I manage the Waitlist?
If your salon is fully booked, clients can join the waitlist online.
- When you open the Calendar, if there are clients waiting for that specific day, a notification dot will appear next to the Waitlist button.
- Click the Waitlist button to view all clients waiting for a slot.
- If a cancellation occurs, you can click on a waitlisted client to immediately convert them into a firm booking!
How do I pause online bookings entirely?
If you need to temporarily stop new appointments (e.g. during a busy holiday period):
- Go to Admin > Admin Control & Booking Mode.
- Toggle your booking mode to "Manual Only" or temporarily disable public bookings.
5. Technical Cards & Formulas
How do I record and track Patch Tests?
If you have services that require a patch test, the system will prevent bookings if the client doesn't have a valid one.
- Open the client's Technical Card.
- Click + Record Patch Test.
- Select the brand/product used and the date it was administered.
- The system will automatically track its 6-month validity and warn you when it's about to expire.
How do I process a client's colour formula with drawings?
Colour formulas allow you to securely store bowls, timing, and visual head-sheet sketches.
- Open the client's Technical Card from the Calendar.
- Click + Add Formula or click on a past formula from the history list to edit it.
- Fill out the natural base, target shade, and mixing bowls.
- Use the โ๏ธ Draw Sketch button to open a full-screen drawing pad to sketch head sheets.
- Use the ๐๏ธ Annotate Card button to draw directly over the formula inputs.
- If you make a mistake, simply use the ๐งฝ Eraser / ๐๏ธ Draw toggle.
6. Payments, Checkout & Reviews
How do I request a deposit for a booking?
You can secure an appointment by requesting a deposit from the client.
- Click on an existing appointment in the Calendar to open the Appointment Card.
- If the appointment isn't paid yet, click the Request Deposit button.
- Enter the deposit amount. An SMS or Email link will automatically be sent to the client.
- Once the client pays via Stripe, the appointment status will automatically turn Green (Confirmed)!
How do I checkout a client and take final payment?
When the appointment is finished, you can check them out.
- Open the appointment on the Calendar.
- Select Checkout. The system will automatically calculate the total price of their services minus any deposit they already paid.
- You can add Retail Products to their bill at this stage.
- Process the final payment via your physical card terminal or cash, and mark the appointment as Complete.
How do I collect and manage Customer Reviews?
The system can automatically ask clients for reviews after their appointment.
- Go to Admin > Customer Reviews Management.
- Ensure your Google Review Link is added.
- When clients leave a review, you can view and feature the best ones directly on your public homepage!
7. Reporting & Data Security
How do I view my salon's financial reports and activity?
To see how your business is performing:
- Go to Admin > Salon Reports.
- You can view revenue breakdowns, stylist utilization, and booking trends.
- You can also view the Activity Logs to see exactly which staff member created, edited, or deleted specific bookings.
How do I backup my salon data?
Your data is safely stored in the cloud, but you can always take manual backups for peace of mind.
- Go to Admin > Backups and Restore.
- Click the export button to download a complete CSV copy of your client database, formulas, and appointment history.
